About this policy
Cookies are small files a website stores in your browser. Some are needed for the site to work at all; others are optional. This policy covers cookies and similar technologies — such as local storage — used on entris.syntari.co.uk and in the Entris kiosk application.
The short version
For the wider picture of how we handle personal data, see our Privacy Policy.
Strictly necessary cookies
These keep you signed in and route you to the right organisation. They cannot be switched off, because the service does not work without them — and under the Privacy and Electronic Communications Regulations they do not require consent.
| Cookie | Purpose | Lifetime |
|---|---|---|
| better-auth.session_token | Keeps you signed in to the dashboard. Signed so it cannot be tampered with. | 7 days |
| entris_last_org | Remembers which organisation you last used, so signing in takes you back there. A preference only — it never grants access, which is always re-checked against your membership. | 1 year |
| entris_kiosk_session | Signs a kiosk device in as a particular kiosk. | 12 hours |
| entris_admin_session | Signs Syntari staff in to our internal administration portal. Never set on customer accounts. | 8 hours |
| entris_admin_oauth | Holds state during our staff sign-in redirect. Never set on customer accounts. | 10 minutes |
Analytics cookies
We use PostHog to understand which parts of Entris are used and where people get stuck, so we know what to improve. These cookies are optional: they are only set once you choose Accept on the cookie banner, and choosing Decline means analytics are switched off entirely rather than merely anonymised.
| Cookie | Purpose | Lifetime |
|---|---|---|
| ph_* (PostHog) | Distinguishes one browser from another so a sequence of actions can be understood as a single session, and records which features are used. | Up to 1 year |
We do not use analytics to build advertising profiles, and analytics are not enabled on kiosk devices.
Other browser storage
Some preferences are kept in your browser’s local storage rather than in cookies. They never leave your device and are not sent to us with requests.
| Key | Purpose | Lifetime |
|---|---|---|
| cookie_consent | Remembers whether you accepted or declined analytics cookies, so you are not asked again. | Until cleared |
| sidebar-state | Remembers whether you collapsed the dashboard sidebar. | Until cleared |
| entris_notif_last_seen | Remembers when you last opened notifications, so the unread badge is accurate. | Until cleared |
| entris_pending_invite | Holds an invitation you are part-way through accepting, so signing in does not lose your place. | Until the invitation is accepted |
| sidebar-nav-permissions | A short-lived cache of which navigation items you can see, so the sidebar does not flicker. Session storage — cleared when you close the tab. | Current tab session |
We also use Sentry to report errors so we can fix them. Sentry does not set advertising cookies; it may store a short-lived identifier so multiple reports from one session can be grouped together.
Cookies on kiosks
A kiosk is a shared device in a public part of your building, so it is treated differently. Kiosks set only the strictly necessary session cookie that signs the device in. No analytics cookies are set, and no cookie banner is shown — there is no meaningful consent to collect from a wall-mounted tablet used by many different people.
Visitor sign-ins are not tracked to a browser
How to control cookies
Analytics
You can accept or decline analytics cookies using the banner shown on your first visit. To change your mind afterwards, clear this site’s data in your browser — the banner will appear again on your next visit, and you can choose differently.
In your browser
Every major browser lets you view, block and delete cookies from its settings. Guidance is available for Chrome, Safari, Firefox and Edge.
Do Not Track
There is no agreed standard for how sites should respond to “Do Not Track” browser signals, so we do not rely on it. Use the cookie banner instead — declining there switches analytics off completely.
Changes to this policy
If we add or remove a cookie, we will update this page and the date at the top of it. If we ever introduce a new category of optional cookie, we will ask for your consent before setting it.
